Ethics of Communicating with Lecturers Via Email

The email application function is used to communicate academically and attach documents such as KP, TA, KKN, MBKM documents, further recommendations, and so on. The purpose of using email is to provide tracing facilities for correspondence with supervisors, guardian lecturers, department coordinators, chairmen, or study program secretaries so that they are well recorded.

Procedures for using email at the Department of Computer Engineering UNDIP:

  1. Write Down the Subject of the Email
    The subject of the email is briefly written about the purpose of sending a message to the lecturer. Can be written in the format: Purpose – Student Name
  2. Write the Opening Words/Greetings
    The opening word or greeting written by mentioning the intended party uses polite and formal language.
  3. Introduce Yourself
    When introducing yourself mention the full name, NIM, and class.
  4. State Your Objective
    Tell me what you want to convey clearly. If there are several things to be conveyed, use the bullet points for each of the points raised.
  5. Inform In Email When Including Attachments
    Tell the body of the text about the included attachments, and make sure the name and number of attachments are clear and appropriate.
  6. Pay Attention to the Use and Writing of Language
    When writing emails for lecturers use formal language, avoid shortening words, pay attention to punctuation, and capital letters, write names, and make sure there are no errors in writing (typos).
  7. Re-Read Your Message
    Before sending the e-mail, double-check the message and attachments to be sent.
  8. Give Lecturers Time to Answer
    If the lecturer does not give a reply for a long time, you can ask back politely. Because the lecturers may have other activities so they have not had time to send you a reply email.
